Stock
Privacy policy
What the app records about you, who can see it, and how to have it removed.
The short version
Stock is a work tool. It records your name and work email so you can sign in, and it records what you do to the stock — every count, move, receipt and adjustment — with your name and the time against it. That record is the product: it is what lets anyone explain how a number came to be what it is, so it cannot be switched off.
Nothing here is advertising. We do not sell your information, we do not share it for marketing, and the app carries no analytics or tracking from anyone else.
Who is responsible
Stock is published and operated by Leslie Tou, who can be reached at support@leslietou.design.
Two parties hold information about you, and the difference decides who you ask for what. Your employer decides that Stock will be used, who gets an account, what is recorded about the goods, and how long their records are kept. We provide and run the app, and hold that information on their instructions. So a question about your own account or your working records goes to your employer first; a question about the app itself, or about how we hold anything, comes to us.
What the app collects
- Your name and work email address. Signing in has no password: you enter your email, we send a link, and following it signs you in. Your name appears against the work you do so that colleagues know who counted or moved something.
- Which organisations you belong to, and your role in each. One account can work for more than one organisation, and your role decides what you are allowed to do.
- What you do in the app. Counts, moves, receipts, adjustments, shipments and the reasons given for them, each recorded with who did it and when.
- Codes you scan. The camera reads a label and the app keeps the code it read, not a picture of it.
- Photos you attach. Only where your organisation has asked for a photo on a record, and only the ones you choose to add.
- What you say to the assistant. Where your organisation turns the assistant on, what you type or dictate is used to carry out your instruction. If you dictate, the recording is used to produce the text and is not kept afterwards.
- Enough technical detail to keep it working. Your device type, the app version, and reports of errors and crashes.
The app asks for the camera and the microphone the first time it needs them, and you can refuse both. Refusing the camera means typing codes by hand; refusing the microphone means typing to the assistant instead of speaking.
Why the activity record cannot be turned off
Stock exists so that a stock figure can be explained. A count that nobody is named on, or a correction with no reason against it, leaves the figure unexplainable and the product pointless. So the record of who did what, and when, is part of the thing itself rather than a setting.
It is used to answer questions about the stock. It is not a productivity score, and we do not provide any tool for ranking or monitoring individual people.
What the app does not do
- No advertising, and no selling or sharing of your information for anyone's marketing.
- No tracking of you across other apps or websites, and no advertising identifiers.
- No third-party analytics kits.
- No following your position. The only locations the app knows are the warehouses, stores and shelves your organisation has named, and the one you pick when you do something.
- No access to your contacts, your photo library beyond a photo you choose, your calendar, or your health or financial information.
Who else can see it
- People at your organisation whose role allows it. Your name on a count is visible to colleagues who can see that count.
- The companies that help us run the app — hosting the service and its database, and delivering sign-in emails. They may only act on our instructions, and may not use anything for their own purposes.
- The provider behind the assistant, where your organisation turns it on, and only what is needed to answer the instruction. We require that they do not train their models on it.
- Anyone we are legally required to disclose to. If that ever happens and we are permitted to say so, we will tell your organisation.
We tell an organisation which countries its information is held in before they deploy Stock, and we tell them before that changes.
How long it is kept
Your account details are kept while your account exists. The record of what was done to the stock is kept for as long as your organisation keeps its stock records, because it is the explanation behind figures their finance team relies on; when it is no longer needed it is deleted or stripped of your name.
Deleting your account
You can ask us to delete your account at any time, whether or not you still work for the organisation that issued it.
Write to support@leslietou.design from the address you sign in with, and ask us to delete your account.
We confirm within two business days and finish within thirty days. No account is needed to make the request, and we do not charge for it.
Deleting your account removes your name, your email address and your sign-in history, and ends your access. Where your employer must keep the audit trail behind their stock figures, the entries you made stay but stop carrying your name, so the figure remains explainable and you are no longer identified by it. If you want those entries removed as well, your employer has to agree, because the records are theirs; tell us and we will put the request to them.
You can also ask us for a copy of what we hold about you, or to correct something that is wrong, at the same address.
Children
Stock is a workplace tool and is not directed at children. We do not knowingly create accounts for anyone under sixteen.
Changes
If this policy changes we will change the date below and say what changed. Where a change matters to you, we will tell your organisation rather than rely on you noticing.
